How to make a video call in Hangouts:

Once installed, the utility will add two options to the Ribbon toolbar in Outlook Mail and Outlook Calendar. One button for scheduling calls and one for making random calls.

To plan a call:

• Click the Schedule a Hangout button to create a new meeting which contains details about Hangouts video calls.
• In case you are editing meeting information, you can click on the option Add Hangout to meeting . This will allow adding a name for the call to the location information field and adding instructions for joining the meeting.

To make a random call:

• Click the Start a new Hangout button to start a new video conversation. This conversation will automatically open in the default browser on your computer.
• If you're using a Chromebox as a meeting device, just click that video call's name in the text box.

How to invite colleagues to join the meeting:

For users of Google Apps accounts in the same domain, you can invite them to join the conversation in one of the following ways:

• Add these people as guests in the calendar event.
• Add users as guests in the Hangouts video call.
• If your organization uses Chromebox as a meeting device, you can send these people call names to invite them to join.

For people who are not using Google Apps with the same domain:

1. Make a video call.
2. After yourself joining the meeting, users can press the head icon with a plus sign to add guests.
3. Enter the email addresses of the people you want to invite and click the Invite button to send the invitation.

How to join a video call:

• In case a user owns a Google apps for Business account, he or she can click the link in the invitation to join the video call.
• Conversely, if they do not own a Google apps for Business account, then they can enter the meeting name into Chromebox to join the conversation.

How to change the default video call setting:

To customize the default video call settings, users can access New => Meeting request => Hangout Settings .
